It should be reviewed by qualified legal counsel for the countries in which Ilajindia operates and serves patients. Nothing in this policy creates a certification or representation that a particular privacy regime applies.
2. Who we are
Ilajindia is a medical-travel coordination service. We help patients communicate with hospitals, organise case information, and coordinate practical travel support. We are not a hospital, medical practice, insurer, immigration authority or emergency service. Hospitals independently control clinical review, diagnosis and treatment.
3. Information we collect
We may collect your name, contact details, country, preferred language and contact method, case or enquiry number, travel preferences and messages. When you ask for hospital review, we may also receive medical reports, images, prescriptions, treatment history and information about a companion. Please provide only relevant and accurate information that you are authorised to share.
4. Where information comes from
Most information comes directly from you through forms, chat, email, telephone or uploaded files. It may also come from a family member or representative acting with your authority, or from a hospital responding to your request. Basic technical records such as IP address, browser type, page activity and security logs may be generated when you use the website.
5. How we use information
We use information to respond to enquiries, organise reports, identify hospitals you ask us to approach, coordinate hospital responses, support travel logistics, maintain case records, improve service quality, prevent misuse and comply with lawful obligations. We do not use an automated system to make final clinical, hospital-admission, visa or treatment decisions.
6. Medical reports and selected hospitals
Medical reports are shared with selected hospitals only for the review or coordination you request. We aim to confirm the intended recipient and limit sharing to information reasonably relevant to that request. A hospital receiving information handles it under its own professional, legal and privacy responsibilities. Ilajindia does not control the hospital’s clinical records or decisions.
7. Consent and authority
By submitting another person’s information, you confirm that you have authority or appropriate consent to do so. You may withdraw permission for future optional sharing by contacting us, but withdrawal cannot undo disclosures already made at your direction or processing needed for legal records, security or an active service request.
8. Other limited sharing
We may share the minimum necessary information with service providers supporting secure hosting, communications, document handling, translation or travel arrangements. We may also disclose information where required by valid law, to protect a person from serious harm, or to investigate fraud and security incidents. We do not sell, rent or trade personal or medical data.
9. International coordination
Medical travel is international by nature. Your information may be accessed or transferred between your country, India, a selected hospital and service providers involved in your request. Privacy laws and protections can differ between locations. We use reasonable contractual, technical and organisational safeguards appropriate to the service, without claiming any external certification.
10. Storage and security
Uploaded reports are placed in private, access-controlled storage rather than intentionally published on public pages. We apply reasonable safeguards such as role-based access, validation and security logging. No internet transmission or storage method is completely secure, so we cannot promise absolute security. Please do not send unnecessary identity or payment documents.
11. Retention
We retain information only for as long as reasonably needed for the enquiry, continuing coordination, security, dispute handling and legal or accounting duties. Retention periods vary by record type and case status. We then delete, anonymise or securely archive information where appropriate. Backups may take additional time to cycle out.
12. Access, correction and deletion
You may ask us to provide a copy of information we hold about you, correct inaccurate details, delete eligible records or limit optional communications. We may need to verify your identity and authority. Some information may be retained where required for legal obligations, fraud prevention, safety, claims or records of services you requested.
13. Website data and cookies
The website may use essential cookies or similar storage to keep sessions secure, remember language preferences and support forms. Operational logs help diagnose errors and prevent abuse. If optional analytics are introduced, available notices and controls should explain them. Blocking essential storage may prevent parts of the website from working.
14. Children and dependants
A parent, guardian or properly authorised representative should manage an enquiry for a child or a person unable to consent independently. Do not submit a dependant’s medical information unless you have the required authority. We may pause coordination while authority is clarified.
15. Not an emergency service
Ilajindia does not monitor messages as an emergency channel and cannot provide urgent diagnosis or care. If you or another person may be in immediate danger, contact local emergency services or go to the nearest appropriate medical facility. Do not delay urgent care while waiting for a response from us or a hospital abroad.
16. Contact and policy changes
Send privacy questions or requests through the support page, stating your case number where available but avoiding new sensitive details in the first message. We may update this policy when services or practices change. The current version and date will appear on this page; material changes apply prospectively unless law requires otherwise.
